The PA will have to work in line with the MD’s habits and preferences. This role is much more than scheduling meetings, attending to visitors and booking flight tickets. The MD works 14 hours a day and follows up on each and every task from the cleanliness of premises to ensuring that each and every person completes his/her tasks on time. Whilst the role is called PA, it is more of a Deputy MD, in the sense that you are to ensure that you follow up and ensure that all of the people have done what they are supposed to. This involves following up with 50 people on a daily basis on more than 150 tasks.
Duties and Responsibilities:
• Programing the MD’s daily schedule. • Seeing that the tasks allocated to other staff are done by the employees on time. • Applying for and having permits for expatriate staff processed. • Involving in human resources quite heavily- this falls under the MD. • Handling tasks that the MD is responsible for directly. • Ensuring statutory compliance by getting and processing documents on time e.g. payment of Local Service Tax, ensuring the company has a trading license. • Ensuring that the multitude of reports that the MD needs are given to him on time, whether from you or to be done by others. • Keeping a detailed ‘tab’ and being on top of all other department operations. The MD will always ask YOU questions about other departments, their problems, their performance; you must KNOW. • Involving in collection of debt directly. The MD duly controls this. • Being in charge of contracts and renewals. • Extremely organizing filing of all the MD’s documents and documents he asks for. • Involving in preparing tenders as well as monitoring the tendering department.
